Privacy Policy
Effective date: 28 October 2026
This policy explains what personal data Q9 Technology collects through q9.group and when you contact us, why we use it, how long we keep it, and the rights and choices you have.
Who we are
Q9 Technology ("we", "us") is a business-to-business supplier of AI and data-center hardware based in Business Bay, Dubai, United Arab Emirates. We decide how and why the personal data described in this policy is processed, and we are responsible for it as its controller.
Contact: info@q9.group, +971 4 4074200, Unit 1712, Bayswater Tower, Business Bay, Dubai, UAE, PO Box 75082.
What we collect
- Details you send us: your name, email address, phone number, company, job role, and the content of your message or request for quotation, whether through our contact form, email or phone.
- Business and order information: delivery and billing details, records of quotations, orders, invoices and correspondence, and the end-user and end-use information we may need for export-control and compliance checks.
- Technical data: IP address, browser and device type, pages visited, the referring website or campaign link, and similar data collected automatically through server logs and cookies (see Cookies below).
We do not ask for sensitive personal data, and we ask you not to send it.
How we use it
- To reply to your enquiry and prepare quotations.
- To process, ship and support orders, handle warranty and return requests, and keep business, accounting and tax records.
- To meet legal obligations, including trade, sanctions and export-control checks.
- To keep the website secure and to understand, in general terms, how visitors find and use it, so we can improve it.
- To send you occasional product updates, only where you have agreed. You can opt out at any time using the link in the message or by emailing us.
Legal basis
We process personal data on the bases allowed by the UAE Personal Data Protection Law (Federal Decree-Law No. 45 of 2021) and any other data protection law that applies to us. In practice this means we process it:
- where it is needed to take steps at your request before entering into a contract, or to perform a contract with you or the company you represent;
- where it is needed to comply with obligations under UAE law, such as tax, commercial record-keeping and export-control requirements;
- where it is needed to establish, exercise or defend legal claims; or
- with your consent, for example for marketing messages and for cookies that are not strictly necessary. You can withdraw consent at any time; this does not affect processing that took place before.
Sharing your data
We do not sell personal data. We share it only where needed with:
- service providers that host our website and email or provide IT support, acting on our instructions;
- logistics, freight, customs and insurance providers, and banks, that handle an order or its payment;
- manufacturers or their authorised distributors, where needed to fulfil an order, register a warranty or obtain any required export authorisation;
- professional advisers such as auditors and lawyers;
- government and regulatory authorities, where the law requires it.
International transfers
Some of our service providers and business partners may process data outside the UAE. We transfer personal data outside the UAE only where applicable law allows it, for example to countries with an adequate level of data protection, under contractual safeguards, where the transfer is needed to perform a contract with you, or with your consent.
How long we keep it
- Enquiries and quotations that do not lead to an order: for up to 2 years after our last contact with you, so we can follow up and answer questions about the quotation, unless you ask us to delete them sooner.
- Orders, invoices and related correspondence, including export-control and end-user documents: for at least 5 years after the end of the relevant financial year or tax period, and longer where UAE tax and commercial record-keeping laws require it, for example during a tax audit or a dispute.
- Marketing preferences: until you opt out; we then keep a record of your opt-out so that we respect it.
- Server logs: for a limited period, normally no longer than 12 months, unless needed to investigate a security incident.
After that we delete or anonymise the data. Data needed to establish or defend a legal claim may be kept until the claim is resolved.
Cookies
The website uses cookies and similar browser storage that are strictly necessary for it to work, for example to keep the site secure, remember a session and submit forms.
We do not use advertising cookies. If we add analytics or other non-essential cookies or tools, we will update this policy and, where required by law, ask for your consent first. You can block or delete cookies in your browser settings, though some features may then not work.
Your rights
Subject to the conditions and exceptions in applicable law, you can ask us to: give you information about and access to your personal data; provide it to you in a structured, machine-readable format; correct or complete it; delete it; restrict or stop certain processing; and object to processing, including for direct marketing. You can also withdraw consent at any time and ask not to be subject to decisions based solely on automated processing that significantly affect you.
To make a request, email info@q9.group. We may need to confirm your identity first, and we will reply without undue delay. If you are not satisfied with our response, you may complain to the UAE Data Office or another competent authority.
Security
We use reasonable technical and organisational measures to protect personal data against unauthorised access, loss or misuse, and we limit access to people who need it. No method of transmission over the internet is completely secure. If a personal data breach occurs, we will notify the competent authority and affected individuals where the law requires it.
Children
The website and our services are intended for businesses and are not directed at anyone under 18. We do not knowingly collect personal data from minors. If you believe a minor has sent us personal data, please contact us and we will delete it.
Changes to this policy
We may update this policy from time to time. The date at the top shows the latest version. Where a change is significant, we will make it clear on this page and, where required, ask for your consent again.
